1. Who We Are

Vehix is an RMI and MIWA registered automotive workshop operating from 87 Fairbanks St, Bophelong, Vanderbijlpark, 1913, South Africa. We are the responsible party for the personal information described in this policy, as defined in the Protection of Personal Information Act 4 of 2013 (POPIA).

2. Information We Collect

• Your name and surname
• Your phone number and email address
• Your vehicle make, model and year
• Any notes or details you submit through our online booking form or send us via WhatsApp
• Basic technical information collected automatically by our website host (see cookies below)

We only ask for information we actually need to service your vehicle. We do not knowingly collect information from children.

3. Why We Collect It

• To schedule, confirm and manage your service appointment
• To prepare and provide quotes
• To communicate with you about your vehicle, the work required and its progress
• To send service and maintenance reminders
• To keep accurate workshop and warranty records

4. Sharing Your Information

We do not sell your personal information, and we do not share it for marketing purposes. We share it only with the service providers needed to operate this website and our booking system — our website hosting provider, Cloudflare (bot and spam protection), and Google Maps (the map embed on our contact page) — and with our email provider used to send you booking confirmations. We may also disclose information where the law requires it, or where it is necessary to protect our legal rights.

5. How Long We Keep It

Booking records and related service history are kept for five (5) years from your last visit. This lets us honour workmanship warranties, maintain your vehicle's service history and comply with tax and consumer-protection record-keeping obligations. Enquiries that do not result in a booking are deleted within 12 months. After these periods, records are securely deleted or anonymised.

6. How We Protect It

Booking information is stored in an access-controlled database that is not publicly readable. Access is limited to Vehix staff who need it to do their job, and data is transmitted over encrypted (HTTPS) connections.

7. Your POPIA Rights

Under POPIA you have the right to:

• Ask what personal information we hold about you and request access to it
• Ask us to correct or update information that is inaccurate or incomplete
• Ask us to delete or destroy information we no longer need to keep
• Object to our processing of your information, including service reminders
• Withdraw consent at any time (this may mean we can no longer service your booking)
• Lodge a complaint with the Information Regulator of South Africa

We respond to requests within a reasonable time and may need to verify your identity first.

9. Cookies & Analytics

We use Google Analytics 4 with Google Consent Mode v2 to understand how visitors use our site. Analytics cookies are only set after you click "Accept" in the cookie banner. If you decline, your visit is still counted anonymously through cookieless pings that do not identify you or track you across other sites.

Advertising and cross-site personalisation are never enabled: ad_storage, ad_user_data and ad_personalization remain denied at all times. A small number of functional cookies keep the website working and remember your cookie choice. Third-party embeds such as Google Maps may set their own cookies when loaded. You can also clear or block cookies in your browser settings.
